Can You Post Pictures of Your Team on Social Media?
Sharing photos of your team on social media is a smart way to show the human side of your business. It builds trust, communicates culture, and makes your brand more relatable. But before you pick up the camera, there are a few rules worth knowing about.
Here are the two main ones.
Get consent before you take the picture
A photo of an employee is personal data. It can identify that person, which means data protection rules apply from the moment you press the shutter.
That has two practical implications. First, you need a legal basis before taking the picture. In most cases, that means obtaining your employee's consent. Second, if you want to publish the photo, whether on your company's social media, your website, or even your internal intranet, you need consent for that specific use too. Taking the picture and publishing it are two separate steps, and each requires its own basis.
There are some exceptions. If no specific employee is identifiable in the photo, for example in a wide-angle group shot where no individual stands out, you may not need individual consent. But this is a narrow exception. When in doubt, ask.

Be transparent about how the photo will be used
Even when you have consent, you have an obligation to be transparent. Your employees need to know how the photo will be used, where it will be published, and what their rights are in relation to it.
This is not just a legal requirement. It is also good practice. Nobody wants to stumble across a photo of themselves online without any prior warning. Letting your team know in advance, and being clear about what they are agreeing to, builds trust and avoids awkward situations down the line.
A simple way to handle this is to include a brief explanation when you ask for consent: what the photo is for, where it will appear, and how long you plan to use it. That way, everyone is informed and nothing comes as a surprise.
